Welcome to The GEAR by Kajima (“we,” “our,” “us”). By creating an account on our website and submitting your information through our form, you agree to the following Terms & Conditions. Please read them carefully before proceeding.
1. Account Registration and Approval
To access certain premium content on our website, you are required to create an account by submitting your personal information. The GEAR by Kajima reserves the right to review and approve access requests at its sole discretion. Submission of your information does not guarantee access.
2. Information Collected
When you submit the account registration form, we collect the following business contact information:
- Full Name
- Organisation
- Job Title
- Email Address
- LinkedIn Profile URL
This information is used to evaluate your eligibility for access to premium content, support internal analysis to improve our services, and to send you relevant marketing communications.
3. Use of Premium Content
Approved users may access certain content, resources, or features designated as “premium” on the website. These materials are provided for informational purposes only and remain the intellectual property of The GEAR by Kajima or its partners. You agree not to reproduce, distribute, or share such content without prior written consent.
While we strive to ensure the accuracy and relevance of all information provided, The GEAR by Kajima makes no warranties or representations, express or implied, regarding the completeness, reliability, or suitability of the content for any purpose. Use of such information is at your own discretion and risk.
4. Limitation of Liability
To the fullest extent permitted by law, The GEAR by Kajima shall not be liable for any loss or damage arising from your use of the website or reliance on any premium content, even if we have been advised of the possibility of such damages.
5. User Obligations

The GEAR by Kajima reserves the right to suspend, limit, or revoke your access to premium content and related features at any time, without prior notice, at our sole discretion. This includes, but is not limited to, situations where you breach these Terms & Conditions, misuse the platform, or where continued access is no longer appropriate due to changes in eligibility or business considerations. We also reserve the right to modify or discontinue any part of the website or its content without liability.

Kajima Asia Pacific Holdings Pte. Ltd. and its Singapore Group Companies (collectively and respectively hereinafter referred to as “Kajima” “we”, “us”, or “our”) may collect, use, disclose or otherwise process personal data of our visitors, customers, and employeesincluding but not limited to users of the facilities of the Kajima Lab for Global Engineering, Architecture & Real Estate (“The GEAR”) in accordance with the Personal Data Protection Act (“PDPA”). This Policy applies to personal data in our possession or under our control, including personal data in the possession of organizations which we have engaged to collect, use, disclose or process personal data for our purposes
Personal Data
1. As used in this Policy:
- “customer” means a customer or customers of Kajima.
- “employee” means an employee or employees of Kajima or any of Kajima’s affiliates.
- “personal data” means data, whether true or not, about a visitor, customer or employee who can be identified: (a) from that data; or (b) from that data and other information to which we have or are likely to have access to.
- “occupant” means a tenant, a tenant’s representative, an employee, a Permitted Person or a Permitted Person’s Authorised Users.
- “Permitted Person” means a person (whether such person is a corporate entity, a partnership or an individual) who is permitted or authorized by Kajima to access and use a specified part of The GEAR for permitted purposes.
- “Permitted Person’s Authorised User” means any individual whose details are provided by a Permitted Person to Kajima and who is authorised by that Permitted Person to undertake that Permitted Person’s activities in The GEAR.
- “tenant” means a person (whether such person is a corporate entity, a partnership or an individual) who has been granted a tenancy of a unit within The GEAR by Kajima.
- “tenant’s representative” means an individual under the employment of a tenant who is authorised by that tenant to use and have access to that tenant’s unit.
- “unit” means a specified area demarcated by Kajima as a unit in The GEAR.
- “visitor” means an individual who accesses The GEAR on a one-off basis.
2. Depending on the nature of your interaction with us, some examples of personal data which we may collect from you include:
- your name and contact details (including your email address);
- facial profile picture and other images of you, including in videos or photographs;
- general demographic details (including your age and gender);
- your location data within The GEAR;
- your physical responses (including, but not limited to, your temperature and
heart rate) to environmental and other conditions; and - data that identifies your health, wellness and/or fitness information, including your
height and weight.
3. Other terms used in this Policy shall have the meanings given to them in the PDPA(where the context so permits).
Collection, Use and Disclosure of Personal Data
4. We generally do not collect your personal data unless (a) it is provided to us voluntarily by you directly or via a third party who has been duly authorised by you to disclose your personal data to us (your “authorised representative”) after (i) you (or your authorised representative) have been notified of the purposes for which the data is collected, and (ii) you (or your authorised representative) have provided written consent to the collection and usage of your personal data for those purposes, or (b) collection and use of personal data without consent is permitted or required by the PDPA or other laws. We shall seek your consent before collecting any additional personal data and before using your personal data for a purpose which has not been notified to you (except where permitted or required by law).
5. Your Personal Data may be collected by us in the following manner for the Purposes outlined below (as may be applicable):
- by AI facial profiling and camera systems in The GEAR;
- through the visitor registration station at The GEAR;
- through your access and/or use of Kajima’s Employee Portal and preference management system (if you are an employee); and
- through the smart locker solution.
6. We may collect, use and disclose your personal data for any or all of the following purposes (collectively, the “Purposes”):
- to ensure the security of our visitors and occupants and The GEAR;
- to maintain a record of visitors and occupants in The GEAR; and
- for purposes connected or relevant to research and development projects based
on data which includes data collected at our Premisesto glean insights and solutions
to enhance the well-being of occupants in The GEAR (“Research Purpose”),
provided that your Personal Data is anonymised before such processing.
7. We may disclose your personal data to third parties in connection with the Purposes described above, including to the following third parties (which may be located outside of Singapore):
- Kajima’s affiliated entities;
- third parties who provide services to us (including, but not limited to, technology
providers, security services, and other professional services (including
accountants, lawyers and auditors)); - third parties who require your Personal Data in order to fulfil such third party
products and/orservices as may be requested or directed by you; and - data sharing and research and development partners.
8. The Purposes listed in the above clauses may continue to apply even in situations where your relationship with us has been terminated or altered in any way (for example, after expiry of the tenancy of your unit, cessation of your permitted use of space in The GEAR or where you have left The GEAR), for a reasonable period thereafter (including, for us to ensure that we have accurate records of visitors and occupants to ensure the security of The GEAR).
Deemed Consent by Notification
9. We may collect or use your personal data or disclose existing personal data for additional purposes that differ from the Purpose (“Additional Purposes”). If we intend to rely on deemed consent by notification for Additional Purposes, we will notify you of the proposed collection, use or disclosure of his personal data through appropriate mode(s) of communication.
10. Before relying on deemed consent by notification, we will assess and determine that the collection, use and disclosure of the personal data will not likely have an adverse effect on you
11. You will be given a reasonable period to inform usif you wish to opt-out of the collection, use and disclosure of your personal data for Additional Purposes which we subsequently inform you of.
12. After the lapse of the opt-out period, you may notify us that you no longer wish to consent to the Additional Purposes for which your consent was deemed by notification by withdrawing your consent for the collection, use or disclosure of your personal data in relation to the Additional Purposes.
Reliance on Legitimate Interests Exception
13. In compliance with the PDPA, we may collect, use or disclose your personal data without your consent for the legitimate interests of Kajima or another person. In relying on the legitimate interests exception of the PDPA, Kajima will assess the likely adverse effects on you or the individual and determine that the legitimate interests outweigh any adverse effect.
Withdrawing your Consent
14. The consent that you provide for the collection, use and disclosure of your personal data will remain valid until such time it is being withdrawn by you in writing. You may withdraw consent and request us to stop collecting, using and/or disclosing your personal data for any or all of the Purposes or Additional Purposes listed above by submitting your request in writing or via email to our Data Protection Officer at the contact details provided below.
15. Upon receipt of your written request to withdraw your consent, we may require reasonable time (depending on the complexity of the request and its impact on our relationship with you) for your request to be processed and for us to notify you of the consequences of us acceding to the same, including any legal consequences which may affect your rights and liabilities to us.
16. Please note that withdrawing consent does not affect our right to continue to collect, use and disclose personal data where such collection, use and disclose without consent is permitted or required under applicable laws.
Access to and Correction of Personal Data
17. If you wish to make (a) an access request for access to a copy of the personal data which we hold about you or information about the ways in which we use or disclose your personal data, or (b) a correction request to correct or update any of your personal data which we hold about you, you may submit your request in writing or via email to our Data Protection Officer at the contact details provided below.
18. Please note that a reasonable fee may be charged for an access request. If so, we will inform you of the fee before processing your request.
19. We will respond to your request as soon as reasonably possible. Should we not be able to respond to your request within thirty (30) days after receiving your request, we will inform you in writing within thirty (30) days of the time by which we will be able to respond to your request. If we are unable to provide you with any personal data or to make a correction requested by you, we shall generally inform you of the reasons why we are unable to do so (except where we are not required to do so under the PDPA).
Protection of Personal Data
20. We will take appropriate and reasonable administrative, physical and technical measures to safeguard your personal data in our possession or under our control, to protect against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks, and the loss of any storage medium or device on which personal data is stored, save for those which may be beyond our control.
21. You should be aware, however, that no method of transmission over the Internet or method of electronic storage is completely secure. While security cannot be guaranteed, we strive to protect the security of your information and are constantly reviewing and enhancing our information security measures.
Accuracy of Personal Data
22. We generally rely on personal data provided by you (or your authorised representative). In order to ensure that your personal data is current, complete and accurate, please update us if there are changes to your personal data by informing our Data Protection Officer in writing or via email at the contact details provided below
Retention of Personal Data
23. We retain your personal data only for as long as is necessary to fulfil the Purposes and Additional Purposes we collected it for, and to satisfy our business and/or legal purposes, including data analytics, audit, accounting or reporting purposes. How long we keep your personal data depends on the nature of the data, e.g. we keep personal data for at least the duration of the limitation period for bringing claims if the personal data may be required to commence or defend legal proceedings. Some personal data may also be retained for longer, e.g. where we are required to do so by law.
24. We will cease to retain your personal data or remove the means by which the data can be associated with you, as soon as it is reasonable to assume that such retention no longer serves the purpose for which the personal data was collected, and is no longer necessary for legal or business purposes.
Transfer of Personal Data
25. We may transfer your personal data to countries outside of Singapore. If we do so, we will take steps to ensure that your personal data continues to receive a standard of protection that is at least comparable to that provided under the PDPA.

Effect of Notice and Changes to Notice
27. This Policy applies in conjunction with any other notices, contractual clauses and consent clauses that apply in relation to the collection, use and disclosure of your personal data by us.
28. We may revise this Policy from time to time without any prior notice. You may determine if any such revision has taken place by referring to the date on which this Notice was last updated. Your continued use of The GEAR constitutes your acknowledgement and acceptance of such changes.
Additional Rules
- This Policy shall be effective from 7 January 2014 as updated and amended as of 26 September 2024.
- This Policy is under the control of the department responsible for compliance and administration.
